Village Hall Conditions 

The Hall belongs to the residents of Cockburnspath, and is run by a committee of volunteers.

All bookings should be made at least one week prior to the date of let. 

The main hall will hold 200 people, the café area a maximum of 40 and the meeting room a maximum of 15. There are 150 place settings of cutlery and crockery available, for a 3 course meal. The kitchen is equipped with a domestic dishwasher, a fridge/freezer , two ovens and two hobs. 

When booking, please check the time of other lets if you need time to set up your event. Setting up time can only be given if nobody else wants to use the hall at that time. After your let, please remember to: 

                 Leave the hall in a clean and tidy condition 
                 Take home all your possessions 
                 Put all rubbish in the bins 
                 Take away all bottles and cans, and recycle them.

Conditions of Let

 1.  Payment must be made one week in advance of the date of the let. 
 2.  A cancellation fee of 50% of the booking fee will be charged if a booking is cancelled less than 48 hours prior to the event. 
 3.  Organisations meeting on a monthly/weekly basis need make only one application per year. 
 4.  Lets are at the discretion of the Cockburnspath Village Hall Committee and permission for the use of the premises may be
      withdrawn at any time. 
 5.  Organisations or individuals to whom the hall is let are liable for damage done to the building or furnishings, and for any
      additional cleaning costs arising as a consequence of their let. 
 6.  The responsible leader or individual must be in attendance during the period of the let. He/she must tour the facilities with a
      committee member at the beginning and end of a let. At this point, any matters under item 5 will be noted and brought to the
      hirer's attention. 
 7.  THE HIRER IS RESPONSIBLE FOR ENSURING THAT THERE IS NO SMOKING IN THE HALL. 
 8.  The Committee is not responsible for any injury sustained during a let, by any individual using the premises. A first aid kit and
      accident book are kept in the kitchen. 
 9.  It is a condition of a let for a dance/disco for the 12 -20 age group that the names and addresses of 5 adults who will be 
      present throughout the event must be submitted on the booking form. 
 10. The time period for which a let is granted should be strictly adhered to, otherwise an extra charge may be made. Disturbance 
       to other groups, excess of noise on and off the premises should be avoided, especially late at night. 
 11. Where a bar licence is intended, separate application should be made to the Licensing Board by the hirer. If food or drink is
       to be served, the hirer is responsible for ensuring that food safety regulations are followed.

 Fire Precautions

 1.  Responsible persons must be nominated for all lets where numbers exceed 50 (one person for every 50 people) These people
      must attend for the entire period of the let. The names and addresses should be listed on the booking form. 
 2.  In the event of the fire alarm sounding, all persons must leave the building via the fire doors. 
 3.  There must always be free and unobstructed access to ALL exit doors. 
 4.  Fire extinguishers must be readily accessible and must not be covered or hidden by any materials. 
 5.  Any temporary electrical installation must be undertaken by a qualified electrician. Electrical equipment must not exceed 13
      amps. 
 6.  The hirer must not use portable gas heaters under any circumstances.

In the event of these procedures not being adhered to the Committee reserve the right not to allow the let to proceed.
